Configuration for Time Records and Project Incentives
(Supportworks package only)
- Add Base Wages per Hour and Overtime Wages per Hour fields to Staff Information Field Set – then Run First Time Setup
- Check to see if Time Records Tab is available, if not Add Time Records Tab (use Stopwatch tab style)
- Hide Tab for all Profiles except Admin, Accounting, and Foreman/Team Lead (or whatever Profiles the customer has requested to have visibility)
- Edit Page Layout for Time Records and verify all fields are visible (including all fields: Hours, Base Wages, Related Project, Staff member) DO NOT USE “Base Wage”
- Verify Related Lists for Project Incentives and Time Records to Project object (Custom Settings>RelatedListSettings) List Values to add:
- supportworks__Time_Records__r
- supportworks__Project_Incentives__r
- Go to Project Page Layout and drag the Related Lists for Time Records and Project Incentives onto the Project Page Layout.
- NOTE: Check Page Layout Assignment – update ALL Project Page Layouts being used.
- Edit Time Record Related List on Project to include fields: Time Record Name, Staff, Labor Total, Hours and Approved checkbox
- Edit Project Incentive Related List on Project to include fields: Project Incentive Name, Created Date, Staff, Role, Labor Amount and Incentive Amoun
- NOTE: for both related list, edit the Buttons so only 'New' is visible - uncheck 'Change Owner'
- Save and Run First Time Setup
- Edit Project Incentive Related List on Project to include fields: Project Incentive Name, Created Date, Staff, Role, Labor Amount and Incentive Amoun
- While on the Project object add Project Incentive fields to the ‘Project Cost & Profit’ Field Set.
- Include Fields: Target Labor %, Target Labor Amount, Actual Labor Total, Actual Labor %, Crew Leader Incentive %, Crew Leader Incentive Amount, Lead Installer Incentive %, Lead Installer Incentive Amount, Installer Incentive %, Installer Incentive Amount.
- Run First Time Setup
- Create List Views for Time Records Tab: All, Pending Approval (show Related Project, Created Date, Staff, Time Record ID, Approved, Status, Hours, Base Hours, OT Hours, DOT Hours and Labor Total)
- Remove Delete capabilities from Time Records and Project Incentives objects from ALL User Profiles (check to see which Profiles are being used)
- Create Report Type: Projects with Incentives with Time Records
- Create one Report using Report Type (above) – Time Frame: Created Date of Time Record “Current CY” Group by Created Date of Time Record by Calendar Week & then group by Staff name. Fields to include: Project Name, Project Incentive Name, Time Record Name, Incentive Amount, Hours, Approved, Labor Total. Name Report: “Projects with Time Records YTD” and Save in Projects folder.
- Configure Time Record Page Layout to include Activity History and Time Record History Related Lists. You may need to check the 'Track Activities' and 'Track Field History' options at the top of the custom object page.
