This Article covers the places within improveit 360 where your staff can locate and read Inbound Text messages from Prospects.
Inbound Texts Tab
The first place to see inbound texts is on the Inbound Texts Tab. Navigate to the All Tabs page (+) and click on the Inbound Texts tab. If you do not see this Tab, it will need to be added to your User Profile settings. Here is an Article to guide you: Set Tab Visibility
On the Inbound Texts tab you will have the All List view by default. However, you can create your own Lists to sort Inbound Texts.
For example, you might want a list that displays Texts received in the Last 7 Days:
Click Edit next to the Name of the List to see the Filter Criteria. Or click Create New View to create a new List of Inbound Texts and set your own Criteria.
For the Last 7 Days List view the Filter is the Created Date of the Inbound Text equals Last 7 Days.
In Step 3 you will select which Fields you want to be visible. We recommend always adding the Text Message Content field to the List, as well as the Prospect field.
Save your List View when finished.
System Best Practice: Use List Views to sort and work through tasks which all need the same type of action. Perhaps you have a List which finds Texts where the Prospect replied with the word "cancel" or "reschedule" and those Appointments need to be rescheduled. Note that to use OR filter logic you will need to set Filter Logic in the Criteria section:
I've added the Created Date to the List so that I can sort the most recent replies at the top of the List:
Prospect Page in the Prospect Timeline
The next place where users can see and read Inbound Texts is on the Prospect Timeline at the bottom of the Prospect page. You will scroll down to the Related Lists and change the view by clicking on Prospect Timeline:
From here you will see any Outbound Texts which were sent to the Prospect. You can Expand the Outbound Text to see any replies. Expand the Inbound Text message to see the Text Message Content received from the Prospect.
Search the Prospect's Phone number in the Advanced Search
Enter the Prospect's Phone number in the Advanced Search window at the top of the page. Note: your system's Advanced Search may be in the sidebar menu below Search and Create.
Enter the number with +1 at the beginning and without any other dashes or parenthesis, for example: if I were entering (866) 421-3360 I would enter that number as +18664213360 in the search bar. This is how the phone number is formatted when text messages are sent and received.
The Search may not return any records, you will need to click Search All
Next you should see all the Outbound Messages and Inbound Messages which are related to the Phone number you searched:
Click on the Inbound Text record ID to see the message including the Text Message Content as well as who the Prospect was.
