What's the different between Data Storage and File Storage?
Data Storage: Data represents the records stored in the system, like a Prospect record, Appointment record, Sale record, etc.
File Storage: Files represent the attachments and documents, like photos, PDF’s, scanned docs, etc.
Standard File Storage: 10 GB (+ 2 GB per user)
Standard Data Storage: 10 GB (+ Additional 20 MB/user after 51 users)
NOTE: An org with fewer than 10 users will receive a total of 1 GB of per-user file storage rather than 100 MB per user license.
1 GB of Data storage typically holds about:
- 100,000 prospects with related records, such as sales, projects, appointments, marketing tasks, etc.
- Over 500,000 total records
NEW CUSTOMERS: If your database has more than 100,000 LEADS and you will be using improveit 360’s CALL CENTER functionality, we highly RECOMMEND purchasing at least 1GB of additional Data Storage upfront.
File Storage
Each system is allocated 10 GB of file storage per org.
Orgs are allocated additional file storage based on the number of standard user licenses. In Enterprise, Performance, and Unlimited Editions, orgs are allocated 2 GB of file storage per user license. Contact Manager, Group, Professional Edition orgs are allocated 612 MB per standard user license, which includes 100 MB per user license plus 512 MB per license for the Salesforce CRM Content feature license.
An org with fewer than 10 users will receive a total of 1 GB of per-user file storage rather than 100 MB per user license.
Each Salesforce CRM Content feature license provides an additional 512 MB of file storage, whether Salesforce CRM Content is enabled or not.
File storage and data storage are calculated asynchronously, so if you import or add a large number of records or files, the change in your org’s storage usage isn’t reflected immediately.
The minimum values apply to Salesforce and Salesforce Platform user licenses. If your org uses custom user licenses, contact Salesforce to determine your exact storage amount.
Are Data Storage and File Storage based on User Licenses?
Yes! The more User Licenses your system has, the more Data and File storage will be allocated for your system. Often customers who are reaching File and Data storage limits have reduced the number of User Licenses and may be in violation of the Master Subscription Agreement by sharing user logins.
How do I know how much Storage we have, and how much is being used?
You must be logged in as the System Administrator user.
Navigate to Setup
Click the Username in the upper-right corner of the screen
Click Setup from the dropdown
In the Quick Find type "Company Information" and click on the Company Information menu:
In the Organization Details section scroll down, under the Default Time Zone and Default Currency Locale, you'll see Used Data Space and Used File Space. This tells you how much Data and File storage your system is currently using, as well as the percentage of available storage space being used. In this example, we are using 27% of our total Data storage, and only 2% of our total File Storage.
From here, click View to see the Total Data and File Storage available in your improveit 360 system:
