Your team may need to block off time on the Calendar for something other than Sales Appointments and Project Appointments. It may be a weekly internal meeting, a manufacturer training, or simply a day your staff member has requested to be off work. Whatever the reason, you can create an Event that shows on the Staff Calendar alongside traditional Sales and Project Appointments. This Article is a guide to creating a new Calendar Event.
Go to the Staff Calendar page. Click on the calendar in an empty space, the prompt to create a "New Appointment" or create a "New Event" will be displayed. Click New Event:
Fill out the details of the Event. You will find descriptions of how each Field should be used below.
Subject - This is the title of your event. This will be the only text shown on the calendar tile, without hovering.
Location - Where the event will take place. Will appear on calendar when using the hover over.
Related To - You will almost always want to choose "Staff" in the dropdown box. This controls whose calendar the event will be displayed on. After selecting Staff in the Object dropdown, enter the name of your staff in the box beside it. Use the magnifying glass to search for a matching Staff record. Click the Staff member's name from the list to populate it into the Event form.
Assigned To - Who should be able to edit/delete the event after it's created. Also who should get reminders if a Reminder is set. This may be the same as the Related To field but does not have to be the same as "Related To".
Start - Date and time when the event should begin.
End - Date and time when the event should end.
All-Day Event - Check this if time of day is irrelevant. This will fill the calendar for each whole day covered within the date range set by your Start/End.
Show Time As - A dropdown box with options to indicate Staff member's availability during the Event.
Name - (related to Contacts) Typically this Field is Unused
Description - Provides further description of what the event is for. Description will appear on calendar if you hover over the event on the Calendar.
Create Recurring Series of Events - Check if you want event to be repeated. See also: How to Enable Recurring Calendar Events
Reminder - If checked, you can set a reminder for the person filled in on the "Assigned To". This is a standard Salesforce feature, and sends a little pop-up reminder if you are currently logged in to i360.
When ready, click "Save" and your Event will be added to the calendar!
After clicking Save, your event should show on the Staff Calendar! If not, go back and make sure the event is correctly Related To your the same Staff member that is visible on the Calendar.
