The video below will guide you through creating Material records for each Product sold by your company. Keep in mind, you need to have the Products & Materials Add On Package, or the Supportworks* Package from improveit 360 to take advantage of these features.
Once you've configured the Product/Material template, when a Sales Rep sells that Product, the Material records will be auto-populated on the Sale, anticipating the quantity of Materials needed, and the estimated cost of those Materials.
Example above: A large chocolate producer makes chocolate bars and buys Materials in bulk. How much of a 75lb bag of sugar is needed to make 1 Chocolate Bar? This is the ratio of the Material to Product which you should consider.
Example below: Your finished basement drainage system Product is measured and sold in linear feet (in one-foot increments) but the Material you order comes in 10-foot-long pieces. On the Product/Material Template record, you will indicate the Product's Unit of Measure is Linear Feet. On the Material Quantity you will enter 0.1 (one tenth of a 10-foot stick of Material is needed to install one linear foot of Product).
The Product/Materials record will look something like the example below. Note: we have estimated all the Materials which might be needed to install this Product including bags of Concrete.
When the Sales Rep sells Qty 275 of that Product, the system will create Material records unique to this Sale, and will allocate Qty 27.5 sticks of the Material needed for the job and estimate the Material Cost.
Note: Material Total Quantity is Sale Item Quantity multiplied by the Material Quantity. Estimated Total Cost is the Total Quantity multiplied by the Materials Cost.
The Product/Materials template record dictates the allocated or "estimated" Quantity and Cost. We all know, projects change, and sometimes additional Materials are needed. Your Foreman or Installer will indicate the Installed Quantity of each Material, allowing you to report on Estimated Costs versus Actual Costs. During this video we reference a Products and Materials sample spreadsheet. There are two downloadable spreadsheets below for reference, one specific to Flooring products, one specific to Roofing products. Be sure the spreadsheet you use is formatted exactly the same way as the attachments. Notice how the spreadsheet is color-coded, each Product should have multiple Material lines (unless the Product/Material is a 1:1 relationship).
